Roll out Complement to employees in an SME
Share out roles, organise your teams, create accounts, launch onboarding with deadlines and reminders, then track results.
In Rollout guides
This guide supports a small or medium-sized business (SME) that trains its employees with Complement: a simple organisation, a few course creators and regular tracking. Each step gives the key action and links to the article that covers it in detail.
Before you start#
Your platform already exists. If you created it online, the free trial is limited to 5 learners: activate the platform before inviting all your employees. The Learner seats plan is designed for stable headcounts, Hour credit for usage that varies; prices are on the Pricing page. See Create your platform and Activate your platform.
Step 1: share out the roles#
In an SME, three roles are usually enough:
| Role | For whom | What they do |
|---|---|---|
| Administrator | The person in charge of the platform | Manages the teaching team, the subscription and usage |
| Content manager | The training or HR manager | Manages all courses, teams and accounts, and chooses the onboarding course |
| Trainer | A subject-matter expert | Creates their own courses and edits those on which they have rights |
Each one takes a creator seat. Someone who reviews without editing can be a Guest: they do not take one.
Open Admin and click Add administrator, which is used for all roles, then choose the Role. See Manage the teaching team and Roles and permissions.
Step 2: organise your teams#
A platform created online starts in Simplified journey: teams, without departments. This journey suits most SMEs. Create one team per business unit or per site, for example Sales, Workshop or Support: you will give access to courses team by team.
Open Employees, then click Add a team. See Organise departments and teams.
Step 3: prepare the onboarding course#
The onboarding course starts by itself the first time each employee signs in. Use it to introduce your company and how to talk with the avatar.
- Create and publish a short course. See Create a course.
- In its Settings, turn on Use as onboarding training. All your teams then have access to it.
Turn it on before inviting your employees: it only launches at first sign-in. See Launch an onboarding course at first sign-in.
Step 4: create your employees' accounts#
- For a few people, click Add an employee and choose Email invitation: each person receives an email to choose their password. See Add a learner.
- For your whole workforce, click Import CSV / Excel. Prepare a file with one row per employee: first name, last name, email address, department and team. Missing teams are created, and the import continues in the background. See Import learners from a CSV or Excel file.
When an employee moves to another business unit, move them to their new team. See Move learners to another team.
Step 5: roll out your courses#
For each course:
- Test it, then publish it. See Publish a course.
- In the Access tab, tick the teams concerned and click Save. See Give access to a course.
- The Send an email to employees window opens: tick the teams to notify and click Send.
- In Settings, turn on Limit completion date, then Email reminders. Reminders go to employees who have not yet gone through the whole course. See Inform and remind your learners.
Add a message from management to Complement's email: why this course matters, that learners talk out loud with an avatar, and the deadline. See Launch a course successfully.
Step 6: track the results#
- A course's Dashboard shows time spent, progress by team, quiz success and the questions asked to the avatar, without learner names. See Read a course's dashboard.
- The Progress tab lists each employee with their progress, score and status. Spot those still at Not started status to remind them. See Track learners' progress in a course.
- The Export button downloads this data as CSV, for your reports. See Export a course's tracking data.
- The Administrator tracks learning time across the whole platform in Usage. See Track usage.
Checklist#
- Each course creator has their role, and you have enough seats.
- Each business unit has its team, and each employee is in theirs.
- The onboarding course is published and turned on before the invitations.
- Each course is published, assigned to the right teams and announced.
- The deadline and reminders are set.
- You check progress every week during the rollout.
